February 2018: OnCore Upgrade to version 15.3 and system downtime

Beginning Thursday, February 15th through Monday, February 19th at 9:00am, UVA’s instance of OnCore will be unavailable while the production environment is upgraded to version 15.3.  All users, please ensure any required data is entered and that you are logged out by close of business Wednesday, February 14th.


January 2018: Next Steps, Identification of Subsequent Groups:

The implementation of our transition to the enterprise configuration for OnCore is progressing!  Our Early Adopters have been working in OnCore for 3 months and we’re working to identify the remaining Groups.

Each Group will consist of 4-6 Departments.  The Group Go-Live dates are as follows:

  • Group 2: March 2018
  • Group 3: June 2018
  • Group 4: August 2018
  • Group 5: October 2018

We are hosting another series of drop-in Round Tables to provide more information to staff about OnCore.  They are:

  • Tuesday January 16th: 3:30pm-5pm; Dining Conference Room 1
  • Wednesday January 17th  3pm-5pm; McKim Hall Room 3143
  • Thursday January 18th: 9:30am- 11:30am; Dining Conference Room 3

October 2017: Early Adopters are going Live!

The implementation of our transition to the enterprise configuration for OnCore is underway. From Thursday, 26 October at 12pm until Monday, 30 October at 9am, the UVA instance of OnCore will be disabled while our team updates the production environment. After that time, the departments chosen as our early adopters will have access to the system alongside our current Cancer Center users of OnCore. We are excited for this project milestone and look forward to a successful transition.


July 2017: OnCore Super User training:

OnCore super user training will be held for key personnel in departments part of early adoption of the OnCore enterprise rollout, on Wednesday, September 6, and Thursday, September 7. This training will be conducted by Forte Research Systems, the company that has developed OnCore. This training will be an overview to navigating and using OnCore.

Additional site-specific training will be conducted by the UVA OnCore team over the course of three weeks beginning the week of September 18, in order to more fully prepare research staff as to how OnCore will impact and benefit their ongoing research. Dates and times of OnCore 101 training sessions are:

  • Wednesday, Sept. 20 – 9:00 am – 12:00 pm
  • Friday, Sept. 22 – 9:00 am – 12:00 pm
  • Tuesday, Sept. 26 – 9:00 am – 12:00 pm
  • Wednesday, Sept. 27 – 1:00 pm – 4:00 pm – Cancelled
  • Thursday, Sept. 28 – 9:00 am – 12:00 pm
  • Tuesday, Oct. 3 – 1:00 pm – 4:00 pm
  • Wednesday, Oct. 4 – 9:00 am – 12:00 pm
  • Thursday, Oct. 5 – 9:00 am – 12:00 pm

These sessions will cover OnCore basics for entering protocols and subjects into the OnCore Clinical Trials Management System. Registering and attending OnCore 101 is a pre-requisite for being given access to OnCore. Attendees can register for any of these sessions through the LMS NetLearning system accessible by desktop icon when logged into any Health System computer. These classes will take place at Stacey Hall (1105 West Main Street). We’ve attempted to offer a variety of days and times to accommodate the busy schedule of clinical research staff during this initial training roll-out period.

The overall process for OnCore implementation across the University of Virginia was detailed at a series of round tables held in July and March of 2017.
